Project Manager – Trade Shows + Events
Are you a Project Manager who thrives in a fast-paced environment and understands what it takes to bring custom exhibits to life? We’re looking for someone with hands-on experience in the trade show and events industry who can confidently manage multiple projects while collaborating with internal design, engineering, fabrication, graphics, and installation teams.
This role requires someone who understands the fabrication process, communicates effectively across departments, and can keep complex projects moving on schedule, within budget, and to the highest quality standards from kickoff through show floor installation.
Responsibilities
- Manage multiple custom exhibit and event projects from kickoff through installation and project completion.
- Serve as the primary point of contact for clients and internal teams throughout the project lifecycle.
- Coordinate closely with sales, design, engineering, estimating, fabrication, graphics, purchasing, logistics, and installation teams to ensure project success.
- Develop and maintain detailed project schedules, timelines, budgets, and deliverables.
- Lead internal project meetings and communicate project status, priorities, and deadlines across departments.
- Review production drawings, engineering details, and project specifications to ensure accuracy before fabrication begins.
- Monitor project progress throughout fabrication and proactively identify and resolve potential challenges.
- Coordinate vendor activities, material procurement, shipping, and labor schedules to meet critical deadlines.
- Manage project budgets, change orders, and overall project profitability.
- Communicate regularly with clients, providing updates, managing expectations, and ensuring an exceptional customer experience.
- Support onsite installations when needed to ensure successful project execution.
- Ensure every project is delivered on time, within budget, and meets company quality standards.
Qualifications
- 3+ years of Project Management experience within the trade show, exhibit, experiential marketing, custom fabrication, branded environments, museum, or retail fixture industry.
- Strong understanding of custom exhibit fabrication, manufacturing processes, and production workflows.
- Experience coordinating cross-functional teams throughout the lifecycle of custom projects.
- Ability to read and interpret fabrication drawings, construction drawings, and project specifications.
- Excellent organizational and time management skills with the ability to manage multiple projects simultaneously.
- Strong verbal and written communication skills.
- Proficiency with Microsoft Office and project management software.
- Ability to prioritize competing deadlines while maintaining exceptional attention to detail.
- Willingness to travel as needed for client meetings and show site support.
