Project Manager – Trade Show Exhibits

We’re looking for a Project Manager who thrives in a fast-paced, deadline-driven environment and understands how to keep complex, design-build projects moving from kickoff through completion. This individual will play a key role in managing timelines, coordinating cross-functional teams, and ensuring every detail is aligned—from initial order through show site and final reconciliation.

While experience in the trade show industry is highly preferred, we’re open to individuals coming from a related design-build environment (retail displays, store fixtures, signage/print, construction, or design-build), as long as you understand how to bring physical builds to life and can operate effectively under tight timelines. This is an on-site position.

What You’ll Be Doing:

  • Manage projects within internal systems, ensuring all details are accurate and up to date
  • Create and oversee sales orders covering exhibit builds, services, and project scope
  • Develop and manage detailed project timelines to meet tight deadlines
  • Lead internal project meetings including kickoff, pre-detail, pre-ship, and post-show reviews
  • Collaborate cross-functionally with design, engineering, production, and account teams to ensure alignment throughout the project lifecycle
  • Generate and manage vendor purchase orders for all required components and services
  • Handle change orders and communicate updates clearly to clients and internal stakeholders
  • Act as a key point of contact for production teams, providing ongoing support throughout fabrication
  • Coordinate pre-show staging approvals alongside account teams
  • Partner with warehouse and logistics teams to ensure accurate and timely shipping
  • Lead pre-show calls with installation & dismantle teams to review setup, expectations, and show services
  • Remain available during show site for troubleshooting, questions, and project needs
  • Conduct post-show reviews to address damages, losses, or returns
  • Work closely with accounting to reconcile project costs and finalize billing

What We’re Looking For:

  • 3–5+ years of experience within trade shows, exhibits, or a related design-build industry
  • Experience managing exhibit builds (up to 20×20) and budgets in the $20K–$50K range
  • Ability to read and interpret CAD drawings and understand how structures are built
  • Comfortable working in a fast-paced, deadline-driven environment
  • Strong communication, organization, and problem-solving skills
  • Proactive mindset with a strong sense of urgency and accountability
  • Ability to manage multiple priorities while maintaining attention to detail
  • Continuous improvement mindset—open to learning new tools, processes, and efficiencies
  • Proficiency in Microsoft Office and general project management systems
