Project Manager – Trade Shows + Events
Custom exhibits don’t come together by chance—they’re the result of exceptional planning, communication, and execution. We’re seeking a Project Manager who understands the fast-paced nature of the trade show and branded environments industry and knows what it takes to move projects seamlessly from design through fabrication and final installation.
Working closely with internal teams and clients, you’ll be responsible for managing timelines, coordinating production, solving challenges before they become problems, and ensuring every project is delivered with precision. Responsibilities
- Manage multiple custom exhibit, event, and branded environment projects from kickoff through final installation.
- Serve as the primary point of contact for clients while coordinating communication across internal teams.
- Partner closely with sales, design, engineering, estimating, purchasing, fabrication, graphics, logistics, and installation teams to ensure successful project execution.
- Develop and maintain project schedules, budgets, production timelines, and critical milestones.
- Lead project kickoff meetings and provide regular status updates to both clients and internal stakeholders.
- Review engineering drawings, production plans, and project specifications to ensure accuracy before fabrication begins.
- Monitor fabrication and production progress, proactively identifying and resolving issues that could impact schedules or budgets.
- Coordinate vendors, subcontractors, shipping, and installation logistics to ensure projects are delivered on time.
- Manage project budgets, change orders, and overall project profitability.
- Build strong relationships with clients by providing proactive communication and exceptional customer service throughout the project lifecycle.
- Support onsite installations as needed to ensure a seamless project execution.
- Ensure all projects meet quality standards while maintaining deadlines and exceeding client expectations.
Qualifications
- 5+ years of Project Management experience within the trade show, exhibit, experiential marketing, branded environments, custom fabrication, museum, retail fixture, or architectural millwork industry.
- Strong understanding of custom fabrication processes, manufacturing workflows, and production timelines.
- Experience collaborating with cross-functional teams including design, engineering, fabrication, graphics, purchasing, logistics, and installation.
- Ability to interpret fabrication drawings, engineering drawings, construction documents, and project specifications.
- Excellent organizational and time management skills with the ability to prioritize multiple projects simultaneously.
- Strong problem-solving skills and the ability to adapt quickly in a deadline-driven environment.
- Exceptional communication and client relationship management skills.
- Proficiency with Microsoft Office and project management software.
- Willingness to travel as needed for client meetings, installations, or industry events.
